We are hiring for both part-time and full-time positions in our front office/reception area.
This is an important job in that you will be the facilitator to clients seeking appointments, prescriptions, emergency care, and consultations.
As Yuma's oldest veterinary clinic and local family practice, we pride ourselves on greeting clients in a familiar manner and taking care of our patients and clients in a personal and tailored fashion.
Our front office staff is responsible for maintaining the reception areas, customer service, scheduling, phone and digital assistance, filing and correspondence, and financial management of client payments.
Examples of such responsibilities will include:
Maintaining organization, cleanliness, and efficiency of our reception and client-centric areas Ensuring the timely resolution of all client inquiries - these may be via phone, email, in person, and through our client portal system Making appointments and facilitating prescription refill requests Organizing the doctor's schedules and that any necessary equipment for those appointments is available for each doctor Filing and completing necessary paperwork both digitally and manually - pulling client charts for scheduled appointments or inquiries and completing any associated paperwork Checking clients in and out of appointments as well as processing their payments and relaying any notes from doctors and staff Responding to routine medical care questions such as vaccination schedules for all species, pre-surgery care requirements and reminders, and emergency dispatch Attending and participating in required staff meetings - facilitating meeting notes and administrative task lists This position requires handling delicate situations such as clients with sick animals in distress, financial concerns, and emergency care.
A certain level of physical capabilities is required - such as the ability to perform physical tasks such as walking, lifting, potentially holding patients, reading computer screens and paperwork, and writing with legible and neat handwriting.
Candidates should have an interest in medicine and medical care, animal health and maintenance, and be able to maintain an organized and level composure.
Staff are required to present themselves in a professional and courteous manner at all times and uphold our high standards of health care and client services.
Potential candidates may be required to pass a background and drug screening.
COVID-19 vaccination is preferred and masks may be mandatory in certain situations.
Additional education is available for staff.
Yuma Veterinary Clinic provides learning modules for all areas of the clinic - including reception training and certifications.
If a front office member is interested in learning about animal handling and would like to train as a veterinary assistant we are open to cross-training with other positions, however, we are most interested in hiring a team member who is dedicated to maintaining their role as office staff and who wants to grow and advance within administration.
We provide the opportunity for all staff to earn a veterinary assistant certification and encourage an interest in medicine and science.
