Job Description Summary The Office Manager is responsible for coordinating all office activities including medical records, data entry, maintaining patient records, preparing for all meetings, coordinating all telephone calls and maintaining sufficient office supplies.
The Office Manager is responsible for direct patient expenditures coordination, personnel records and billing.
The Office Manager will be responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision and task delegation.
Essential Job Functions/Responsibilities Maintains confidentiality of patient and personnel information.
Maintains accurate up to date medical records in accordance with regulations of Medicare and the Policy and Procedure Manual.
Supervising and monitoring the work of administrative staff and their performance evaluations.
Implementing and maintaining procedures and office administrative systems.
Ensuring that health and safety policies are up to date and adhered to.
Attending Management meetings.
Keeps track of accrued / spent PTO hours for all staff.
Coordinates with Payroll provider regarding pay and HR matters.
Manages Human Resource files on all applicants and employees in compliance with state and federal regulations.
Receives request for need of new employees, search and screen applicants, and arrange interview for prospective employees with hiring manager.
Be the first point of contact for employees' disputes, grievances, and conflicts.
Maintains electronic data base (HospiceMD) files up to date on all employees.
Responsible for gathering and recording staff members' required licensures.
Participate in new hire orientation tasks and training.
Prepares billing invoices with appropriate Medicare allowable fees.
Prepare IDT agendas, facilitate certifications and recertifications in a timely manner.
Oversees system for ordering, inventory, and maintenance of medical and office supplies.
Facilitates meeting scheduling and communication for IDT, QAPI, and other meetings as needed, maintaining agendas and minutes accordingly.
Tracks admission, discharge, IDTs, certification and re-certification dates on all patients.
Responsible for assisting with audits of patient information.
Maintains accurate mailing lists of employees; patients; volunteers, Medical Directors, physicians and nursing facilities and updates database.
Performs other necessary functions/duties as assigned by the Clinical Director, Clinical Manager, and/or Administrator.

Estimated Salary: $20 to $28 per hour based on qualifications.
