Position Information:
The Parts Advisor sells parts, to all available customers, over the counter, through the shop, over the phone, or through other electronic methods.
Duties and
Responsibilities:
Assist walk-in customers in selecting required items, suggest companion items, offer specials and ensure that the full product line is made available to the customer.
Pull purchased items from stock.
If the item is not in stock, determine availability and submit a special or emergency order if requested by the customer and/or service writer/technician.
Answer phone calls and emails as quickly and efficiently as possible; provide price and availability quotes, product and service information, as well as other information.
Assist other parts personnel with their orders.
Set up orders for shipment, delivery, or pick-up.
Verify will call and back-ordered files daily and return or stock those items not required.
Solicit accounts by phone and log solicitations through an established process or method provided by the Parts Manager.
Assist service technicians in selecting items needed for repair processes.
Notify service advisor and/or technician when ordered items have been received.
Ensure that before items can be charged out, the technician and/or service advisor presents an authorized requisition.
File the requisition with the repair order copy.
Be friendly, professional and efficient when working with all customers and/or employees, both on the phone and in person.
Provide the same high level of service to other dealership departments and employees as is given to other customers.
Verify that the recorded cost of an item accurately reflects the actual cost of the item, or follows the guidelines set forth by the Parts Manager.
Issue credit for items returned, ensuring that the original invoice number is available so that purchase pricing and cost can be verified.
Exceptions must be approved by the Parts Manager.
Ensure that all charge sales are signed by the customers.
Ensure that pending or COD invoices are paid in a timely manner.
When making tax-exempt sales, ensure that the customer's account has a resale or ICC number, as well as a signed copy of their resale card.
Present customer with a customer copy of their invoice.
Keep front and rear counter areas clean and uncluttered.
Replenish assigned inventory daily.
Advise Parts Manager when areas of the department are not in satisfactory condition.
Keep current on new products and participate in all training programs that are made available.
Participate with the Parts Manager in maintaining Lost Sale information.
Clean computer terminals and printers daily.
Is available to work various days of the week, including weekends, should scheduling require it.
Working Conditions:
This is a physically demanding position.
Will move throughout the parts selves all day, reaching and climbing to obtain parts from inventory.
Will stand six to eight hours during a shift at the customer counter.
When delivering parts to the service department and/or body shop, will be exposed to noise, dust, exhaust fumes, paint and other hazardous and nonhazardous materials.
